Partner Tebicom introduces M-Files as a central ECM system at the Swiss construction company. Digitization enables transformation from paper-based processes to collaborative information management.

Ratingen, Germany, 9/14/2022 – M-Files, the leading provider of metadata-driven information management, together with its long-term Swiss partner Tebicom, reports on the successful implementation of M-Files as the central platform for document management and process automation at Groupe Grisoni.

The Grisoni Group is a Swiss construction company with five subsidiaries, twelve branches, and 1,200 employees covering eight major service areas. These include civil engineering, building construction, geothermal energy, railroad construction, and general contracting.

Since document management plays a central role in the construction industry, the company was an early adopter of digitizing its business processes. When the previously used system no longer met their needs, the Grisoni Group chose M-Files’ metadata-driven information management platform after consulting with their infrastructure partner Tebicom.

“We wanted to centralize our documents and make them as paperless as possible to facilitate searching and simplify internal management. Our trusted partner Tebicom introduced M-Files as a powerful platform for this purpose. This combination is a winning duo,” says Yannick Bürgisser, commercial manager at Groupe Grisoni. The result speaks for itself, as the search effort for documents has been reduced by 80%.

After establishing general control over all documents and files in the first step, the focus shifted to process support. Particularly rewarding for Groupe Grisoni was integrating M-Files into the accounts payable (AP) process, which drastically reduced the processing time for incoming invoices to one-tenth. Thanks to M-Files, the status of an invoice is always transparent – for example, why and where the approval is blocked. Processing is accelerated, allowing for significant cash discount gains. And of the 1,500 invoices processed each week, none are lost anymore.

With the tailwind of this success, M-Files was established as a cross-departmental platform for document management and process automation, and its scope of application was gradually expanded. For example, the metadata-based platform now also handles incoming paper mail processing.

Groupe Grisoni particularly appreciates the collaboration features that allow the various parties involved in a construction site to work together easily and efficiently. Digital archiving through M-Files simplifies compliance with legal requirements: All information on construction sites older than ten years is automatically archived in compliance with the law.

Groupe Grisoni is more than satisfied with the results so far, so it plans to automate other areas with M-Files. Plans are now for construction site management, personnel management, and inventory management, as well as for providing mobile devices to forepersons.
